- Cancellation Policy -
Traditional Therapy
- Please give us as much advance notice as possible when you need to cancel a scheduled session, at least 24 hours. With advance notice we may be able to serve another child and family in need of our services.
- If a session is missed without a phone call, “no show” there will be a $100.00 charge billed directly to you. Our therapists value and respect the time you schedule for your child’s therapy sessions and will do their best to keep all scheduled appointments with you. Please respect their time also by calling the clinic for unscheduled cancellations.
- Our therapist’s believe consistency is the key to an effective therapy program. Most patients will be scheduled on weekly basis for ongoing services as determined appropriate by each individual therapist. If more than 3 sessions are cancelled within a two-month period, families will be counseled and asked to sign a commitment letter for ongoing therapy. After an agreement is reached therapy will continue. Breach of such agreement can lead to loosing your scheduled therapy time with our therapists, you will either be put back on our wait list or have to schedule appointments each week separately depending on the therapist’s available times. Special consideration is given for child illness and emergent medical needs.
TheraSuit Intense Rehabilitation
Unfortunately, we are unable to accept any cancellations or refunds except for the reasons stated below. If you need to cancel for some other reason, other than stated below, the money you have paid will be credited to your account for future service. Your credit will be honored for one calendar year from the cancellation date. Should you choose to reschedule, you can apply credit towards another session within one year of the cancellation date. However, if you need to cancel a reserved spot secondary to one of the following two reasons, the amount paid will be refunded in full.
· Child does not meet the criteria to participate in our intensive program
· Physician will not authorize participation in the program due to medical reasons. Please provide letter from medical doctor.
Traditional and TheraSuit Patient Sick Policy
To prevent the spread of illness to our other patients and clinicians Esperanza has instituted the following sick policy. Due to the fragile nature of many of our patients please be courteous and do not bring your child to therapy if they have any of the following:
· Any Fever (99 and above)
· Green or yellow runny nose
· Vomiting or diarrhea due to illness
· Any change in skin color or texture
· Breathing difficulty due to illness
· Coughing fits/coughing up mucous
· Any infectious illness such as a rash, impetigo, pink eye, chicken pox, ringworm, etc.
If scheduling allows we will do our best to make up any lost sessions due to patient illness. If you choose to bring your child to therapy while sick with any of the above the therapist reserves the right to cancel your session. Your child is very important to us and will do our best to ensure they receive the maximum benefit from our therapy program; however, pushing a sick child to continue will not benefit your child.
If your child becomes sick during therapy the clinician will speak with the parents/guardians regarding the need for the child to be seen by a physician. In an emergency the clinician will call 911 and contact the parents/guardians if they are not present.
Severe Weather Closures
Esperanza will close due to severe weather or snow in based on the determination made by Seattle Public Schools. So, if Seattle Schools are closed please assume your appointment has been canceled. If Seattle Schools are running on a delayed schedule please call to confirm your appointment.
